The campaign workflow is the backbone of campaign management in Later Influence. It organizes creators into stages that represent where they are in the collaboration process — from first contact all the way to campaign completion.
By moving creators through workflow stages, you can:
- Track campaign progress at a glance
- Manage communication and approvals in one place
- Automate repetitive tasks like reminders and payments
Workflow stages and phases
The default workflow includes 12 potential stages that cover the entire campaign journey. You can enable or disable stages as needed, or add custom stages for unique processes.
Important:
- Keep it simple – disable stages you won’t use to streamline campaign management.
- Content Creation, Complete, and Dropped are always required stages. All other stages are optional.
- Creators move between stages either manually (when you review and promote them) or automatically (when they complete tasks or conditions are met).
Candidates phase
Creators in this phase have been added to a campaign but not yet selected to participate.
| Workflow Stage | Definition | When to use | Stage resources |
| Candidates | Creators you’ve added but not yet invited | Use when you want to review a pool of potential creators before inviting them | Adding Influencers to Your Campaign |
| Invited | Creators you’ve invited, waiting for their application |
Use when you’re sending invitations and collecting applications. Once the application is submitted → creator is automatically moved to Applied. |
Inviting Influencers to Your Campaign |
| Applied | Creators who submitted applications |
Use when you need to review and curate applicants. Note: The Invited & Applied stages are linked and must be enabled or disabled together. |

| Deliverables | Creators who need specific content deliverables assigned | Use when creators need personalized deliverables before they begin | Adding Influencer Deliverables |
Participants phase
Creators in this phase have confirmed participation and are actively working in the campaign.
| Workflow Stage | Definition | When to use | Stage resources |
| Confirmation | Creators you’ve accepted, waiting for them to confirm participation |
Use when you need commitment before sending product/payment. Once participation is confirmed → creator automatically moves out of Confirmation. |
Confirming Participation |
| Pre payment | Creators ready to receive incentives before posting | Use when compensating creators before content goes live | Incentive Setup |
| Draft | Creators preparing draft content |
Use if you want to review content before posting. Once a draft is submitted → creator automatically enters Draft Review. |
Collecting and Reviewing Draft Content |
| Draft Review | Drafts awaiting your approval |
Use to review and provide feedback. Note: Draft & Draft Review stages are linked and must be enabled or disabled together. |
|
| Content Creation | Creators actively producing and publishing content |
Required stage. Once all deliverables are tracked → creator automatically moves out of Content Creation. |
Collecting Campaign Content |
Complete phase
Creators in this phase have finished all tasks and incentives.
| Workflow Stage | Definition | When to use | Stage Resources |
| Post Review | Content under final review | Use if you want to check live content before payments/closing | Collecting Campaign Content |

Managing stages
You can adjust which stages are enabled for a campaign:
- Open your campaign in Later Influence.
- Go to the Setup tab.
- Select Workflow Stages from the sidebar.
- Use the checkboxes to enable or disable specific stages as needed.
- Recommended: Review your Message Templates to ensure any automated messages linked to the stages you’ve changed are still relevant.
Important:
- Once your campaign is Live and creators have entered the workflow, changes are limited.
- You can only disable workflow stages that have no creators currently in them.
- For example, if creators are already in the Applied stage, you can’t disable it until all creators have progressed.
- You cannot add new stages or reorder stages after the campaign has launched.
Communication with Message Templates
Each workflow stage can be paired with a message template to guide communication:
- Templates like Invitation, Application Received, Draft Submission, Post Reminder, and Complete align directly with workflow stages.
- Templates can be:
- Manual – you choose when to send
- Automatic – triggered by stage entry or by key dates (e.g., due dates)
Using message templates ensures creators know what’s expected at every step — while saving you time.
Best practices
- Keep it simple – disable stages you won’t use to streamline campaign management
- Automate where possible – use message templates and payments to save time
- Stay consistent – align workflows across campaigns to make tracking easier
