Message templates are pre-written emails tied to workflow stages. They ensure creators receive the right information at the right time — from their first invitation through to payment — without your team needing to draft individual messages.
Templates are configured within each campaign under Setup → Message Templates.
Default Templates
Every new campaign includes a set of default templates covering the main stages of the workflow. The default templates are:
- Invitation: sent when a creator enters the Invited stage
- Member Accepted: sent when a creator is accepted and enters Confirmation
- You're Confirmed: sent when a creator confirms participation
- Posting Instructions: sent when a creator enters Content Creation (when Draft Review is not enabled)
- Post Approved: sent when a creator's draft is approved and they enter Content Creation (when Draft Review is enabled)
- Draft Submission: sent when a creator enters the Draft stage
- Draft Needs Revisions: sent when a draft is marked Needs Work
- Post Complete: sent when a creator reaches Complete
By default, all templates are set to Manual delivery. Review and update all placeholder text in brackets before setting the campaign Live. Placeholders won't auto-populate.
Delivery Methods
Each template can be set to one of four delivery methods.
Manual: you select creators and trigger the send yourself from the Workflow tab.
Automatic: Stage Entry: sends automatically when a creator enters the selected workflow stage.
Automatic: Date Based: sends relative to a due date (Deliverable Due Date, Draft Due Date, or a specific date). Use this for reminders before or after deadlines. Date-based messages send between 7:00 and 8:00 AM Eastern on the scheduled day.
Automatic: Draft Marked as Needs Work: sends automatically when you mark a draft as needing revisions.
Set Up a Template
- In Later Influence, open your campaign and select Setup → Message Templates
- Select the ellipsis icon, then select Edit next to the template you want to configure
- Customize the subject line and message body
- Add merge tags, inline images (GIF, JPG, PNG up to 2 MB), or campaign links
- Select Delivery to choose a delivery method and, if automatic, select the trigger stage or date rule
- Select Save
Merge Tags and Placeholders
Merge tags — in {{double curly braces}} — auto-populate with creator and campaign data when the message sends (for example, {{first_name}}, {{due_date}}).
Placeholders — in [ALL CAPS BRACKETS] — must be updated manually before sending. They never auto-populate.
Add a New Template
- In Later Influence, open your campaign and select Setup → Message Templates
Select Add message template at the bottom of the templates section
- Customize the subject, body, delivery method, and stage
- Select Save
Exclude Past Recipients
By default, both automatic and manual sends exclude creators who already received that template in the same campaign. To resend a template to a creator who already received it, uncheck Exclude Past Recipients before sending.
Best Practices
- Automate where possible to ensure consistency and reduce manual effort. Layer reminders for key deadlines — for example, one three days before the due date and one day after
- Replace all placeholder text before going live
- Test your templates by adding yourself as a test creator and moving through the relevant workflow stages
