Every campaign is different, and sometimes the default workflow stages don’t capture your exact process. Custom workflows let you add new stages to track unique steps in your campaign, such as “Product Shipped,” “Legal Review,” or “Brand Feedback.”
Custom stages work alongside default workflow stages to give you more control and visibility into your creator collaborations.
Adding a custom workflow stage
You can only add custom stages while your campaign is in Draft mode.
- From the Setup tab, go to Workflow Stages
- Select Add Custom Workflow Stage
- Enter a name
- Choose the position for your stage
Important: Once a campaign is set Live, you cannot add, move, or rename custom stages
How custom workflow stages work
- Movement: Creators must always be promoted manually out of custom stages. There are no automatic triggers.

Message Templates: Custom stages can trigger message templates, just like default stages.

Phases: A custom stage automatically takes on the phase of the stage before it.

Here are some examples of when a custom workflow stage might be useful:
- Product Shipped – Track when items are sent to creators before they can start creating content.
- Legal Review – Add a compliance step where your legal team reviews contracts or drafts.
- Brand Feedback – Give internal stakeholders time to review drafts before final approval.
- Event Participation – Track which creators attended a live event as part of the campaign.
- Custom Incentives – Add a stage for special rewards (like bonus payments or tiered incentives).
Tip: If you find yourself adding the same custom stage to multiple campaigns, consider making it part of your standard campaign workflow setup.
Best practices for custom workflow stages
- Keep it simple – Only add stages if they add real value. Too many custom steps can slow campaign management.
- Plan ahead – Map out your workflow before setting a campaign Live, since you can’t add or move stages afterward.
- Stay consistent – Reuse the same custom setup across similar campaigns to make reporting and internal collaboration with other team members easier.
- Label clearly – Use short, descriptive names so your team understand what each custom stage means.
