The campaign workflow feature is an essential tool to manage influencers throughout your collaborations.
There are 12 default stages spanning the entire process of collaborating with influencers, from searching for potential candidates to reporting on influencers who have completed the campaign.
In addition to the default stages, you can also create custom stages to suit the unique process needs of a particular campaign and add them to your desired position in the workflow.
Learn more about each one of the default workflow stages in the Workflow Stages section or the workflow overall in the article Campaign Workflow Basics.
This article describes the capabilities and tasks associated with custom workflow stages.
Suggested Uses
Custom workflow stages are recommended when a campaign requires a process step that is not represented by one of the default workflow stages.
Custom stages may include things like the following examples:
- Follow influencers — If you wish to follow all the influencers who participate in your campaigns from your brand account, add a custom stage after Confirmation to track a list of influencers you need to follow.
- Negotiation — If your campaign utilizes the Rate feature to collect desired rates from influencers, it can be helpful to add a custom stage between Applied and Confirmation to track influencers who you are negotiating a payment amount with.
Although the default workflow stages cannot be renamed, we do not recommend creating a custom stage that is designed to replace a default stage with a custom label. The default workflow stages have unique capabilities for automation that custom stages cannot replicate.
For example, you may wish to add a custom stage called "Shipping" in place of the default "Pre-Payment" stage; we would recommend against this as only the default stage is integrated with the platform automation that supports incentive fulfillment.

Custom Stage Setup
Custom stages can only be created in draft campaigns.
When you create a new campaign, options to customize the default workflow stages are displayed in the initial campaign creation process. After that point, you can continue to customize the workflow and create custom stages in the Setup tab of the draft campaign.
Manage custom workflow stages in a Draft campaign:
- Navigate to the campaign.
- Open the Setup tab from the campaign header.
-
Open the Workflow page on the left side of the screen. The campaign workflow will be displayed as an editable list.
- Create custom workflow stages: Scroll past the default stages to the Add Custom Workflow Stage field. Enter a label for the stage and click Add.
-
- Move a custom stage: Click the ☰ icon next to the stage and pull it up or down among the other stages.
- Rename a custom stage: Click the pencil icon next to the stage to edit the label and hit enter to save.
- Delete a custom stage: Click the trashcan icon next to the stage.
- Enable or disable default workflow stages: Click the toggle button next to each stage.
Manage custom workflow stages in a Live or Paused campaign:
Once a campaign has been set Live or Paused, the changes that can be made to the workflow are limited to ensure a consistent experience for influencers.
Custom stages can be disabled if no influencers have been added to the stage at any point, but all other editing options, including moving and renaming are disabled.

Workflow Automation
Custom workflow stages can be used to trigger message templates to send automatically.
Promoting influencers out of custom stages is always a manual step. Influencers can be promoted into custom stages automatically, if the preceding stage is a default stage which is designed to promote them to the next stage automatically.
Workflow Phases
Workflow stages are grouped into four logical phases to reflect the status of an influencer's participation in the campaign at a high level.
The workflow phase that an influencer is in is relevant to several campaign functions, including automatic content binding and incentive fulfillment.
Each custom workflow stage is grouped into the same phase at the default stage that precedes it.
Custom workflow stages have the same capabilities as default stages based on the phase of the workflow where they are positioned.
See Comprehensive Workflow Logic for a breakdown of the four workflow phases and their capabilities and limitations.
