PayPal Transaction Overview
Each time a PayPal incentive is fulfilled, a PayPal transaction is created.
Transactions can be viewed and managed wherever the related incentive appears, as well as on the Transactions ledger. Each transaction has a transaction status that is distinct from the fulfillment status of the related incentive.
PayPal Transaction Statuses
PayPal transactions can have one of three statuses: Pending, Complete, or Failed.
- Pending: Transaction has been created in PayPal and is pending acceptance by the recipient.
- Complete: Payment has been successfully accepted by the recipient.
- Failed: Transaction could not be created due to an error or the recipient failed to accept the payment within 30 days.
Complete and Failed transactions cannot be updated.
Pending transactions are automatically updated to either Complete or Failed when relevant criteria are met. Pending transactions can also be manually canceled from the PayPal dashboard, as detailed below.
Transaction Status: Pending
Definition: Transaction has been created in PayPal and the recipient has not yet accepted the payment.
When a PayPal transaction is created, the initial transaction status is Pending. The transaction will keep the Pending status until the recipient accepts the payment for until 30 days have passed.
Pending transactions are automatically updated when:
- Recipient accepts payment → Transaction status changes to Complete
- 30 days have passed → Transaction status changes to Failed
Pending transactions can be manually canceled from the PayPal Developer Dashboard. Reach out to your CSM for assistance. Once canceled, the transaction status will change to Failed.
Available funds
Pending transactions are deducted from the balance of available funds in the platform, but not withdrawn from the payment account until the transaction status is Complete.
Incentive fulfillment status
The fulfillment status of the related incentive is Fulfilled and cannot be changed while the transaction is Pending.
Transaction Status: Complete
Definition: Payment has been accepted by the recipient.
Pending transactions are automatically updated to Complete when accepted by the recipient.
When a transaction's status is Complete, the funds have been fully transferred from the payment account to the recipient.
Available funds
The value of the transaction is deducted from the balance of available funds in the platform and withdrawn from the payment account.
Incentive fulfillment status
The fulfillment status of the related incentive is Fulfilled and cannot be changed.
Transaction Status: Failed
Definition: Transaction could not be created due to an error or the recipient failed to accept within 30 days.
There are two general reasons a PayPal transaction status may be Failed: failure to accept payment and failure to send payment.
- Failure to accept payment occurs when a transaction is created and remains Pending for 30 days, but is never accepted by the recipient. The status is changed to Failed after 30 days.
- Failure to send payment occurs when a transaction cannot be created and the status is immediately set to Failed. Failure to send payment is always a result of an issue with the recipient account. No transactions can be created if there is an error with the payment account. See additional details below.
Available funds
The value of the transaction is returned to the balance of available funds in the platform. No funds are withdrawn from the payment account.
Incentive fulfillment status
The fulfillment status of the related incentive is Ready. The same incentive can be fulfilled again, creating a new transaction.
- Failure to accept payment: Fulfillment status of the related incentive changes from Fulfilled back to Ready.
- Failure to accept payment: Fulfillment status of the related incentive is never set to Fulfilled and always remains as Ready.
Transaction Errors
Failed transactions always include an error message with information about why the transaction could not be completed.
